- Admin hides in seven jobs per client. None is hard; together they eat your evenings.
- Six of the seven can run themselves. Notes and training plans are the one job worth your time.
- Fix the biggest leaks first: the back and forth to book, chasing payments, and reconciling the bank.
- Use one system for clients, bookings and money, so nothing is copied between apps.
The seven admin jobs behind every client
These are the jobs a working trainer timed in their own practice. Your numbers will be different, but the shape is the same for almost everyone running private sessions or programs.
| Admin job | By hand | Automated | How |
|---|---|---|---|
| Finding a time | 15 min | 0 min | Clients book from your real availability, with travel time between home visits |
| Copying their details | 8 min | 0 min | An intake form that writes straight into the client and dog file |
| Writing the invoice | 10 min | 1 min | Invoice created from the booking, with a pay link |
| Reminders before each session | 12 min | 0 min | Email and text reminders sent on a schedule |
| Chasing a late payment | 10 min | 0 min | Payment plans with dates, and automatic nudges |
| Matching payments in the bank | 10 min | 1 min | Card payouts and transfers matched to invoices |
| Notes, homework, next booking | 15 min | 8 min | Notes in the client file, next session booked from the same screen |
| Per client | about 80 min | about 10 min |
Ten new clients a month at 70 minutes saved each is nearly 12 hours, before counting the minutes spent on every repeat session.
Fix these three first
1. The back and forth to book
Messaging to find a time is the biggest single leak, and it happens at the moment a new client is deciding whether to commit. Give them a booking link that shows only the times you are really free. For behaviour consults where you want to speak first, use a request form instead and offer two or three times yourself.
2. Chasing money
Late payments cost time and goodwill. Take payment or a deposit at booking, and sell programs on a payment plan with set dates. A reminder that goes out on its own is far easier on the relationship than a text from you.
3. Reconciling the bank
Matching each payment to an invoice at quarter end is the job most trainers dread. If card payouts and bank transfers match to invoices as they arrive, your GST figures are ready when the BAS is due instead of costing a weekend.
Admin that should stay with you
Not everything should be automated. Session notes, training plans, homework and the decision about what a dog needs next are the work clients are paying for. The aim of good admin is to give you more time for those, not to template them away.
One system or several apps?
Many trainers start with a calendar app, a forms tool, a spreadsheet, Xero and a lot of copying between them. That works at ten clients and breaks at forty. The copying is where admin time and mistakes hide. When you choose software, check that one booking creates the client, the invoice, the reminders and the bank match without you moving anything by hand. Our guide to choosing dog training software has a full checklist.
Money admin in Australia
- GST: registration is required once turnover reaches A$75,000 a year, or is expected to. Below that it is optional.
- Tax invoices: once registered, invoices need your ABN, the words "tax invoice" and the GST amount.
- BAS: registered businesses lodge a Business Activity Statement, usually each quarter.
- Records: keep invoices, receipts and bank records for five years.
General information only, not tax advice. Check your situation with your accountant or the ATO. Whether you also need Xero is covered in Do dog trainers need Xero?

Self booking, intake forms, confirmations and reminders, invoices from bookings, payment plan instalments and nudges, and bank matching. Notes and training plans stay with you.
Does a dog trainer need to register for GST?
In Australia, once turnover reaches A$75,000 a year or is expected to. Below that it is optional. Check with your accountant or the ATO.
What is the best way to take payment for dog training packages?
Take a deposit or first instalment at booking, then collect the rest on set dates with automatic reminders. Clear payment plans reduce chasing and help clients commit to the full program.
