Why trainers end up paying for both
Most booking tools stop at the payment. The money then has to be invoiced, matched and reported somewhere, so trainers add Xero and either connect the two or copy between them. You end up paying for two subscriptions and still checking that the numbers agree.
What the books of a dog training business actually need
| Job | Needed by | Does it need Xero? |
|---|---|---|
| GST tax invoices with your ABN | Every GST-registered trainer | No, if your booking software issues them |
| Card and bank transfer payments matched to invoices | Everyone | No, if your software matches them |
| Expenses with categories and GST | Everyone | No, if your software records them |
| GST summary for the BAS | GST-registered trainers | No, if your software totals GST collected and paid |
| Year-end figures for your accountant | Everyone | No, a clean export does the job |
| Payroll and Single Touch Payroll for employees | Trainers with employees | Yes, or other payroll software |
| Several businesses or complex assets | Larger operators | Usually yes |
General information only, not tax advice. Your accountant knows your situation.
When Xero is worth it
- You employ staff and need Single Touch Payroll reporting
- You run more than one business or entity
- You have vehicles, loans or other assets that need full balance sheet accounting
- Your accountant does your books inside Xero and charges less for it
When it probably is not
- You are a sole trader or small practice, paying contractors rather than employees
- Your income is client sessions, programs, classes and some product sales
- Your accountant does one return a year from your figures
For a trainer in that position, Xero Ignite at A$37 a month is A$444 a year spent on a second copy of numbers your booking software already holds.
How to drop Xero safely
- Talk to your accountant first and show them a sample export
- Switch at the start of a BAS quarter so each quarter sits in one system
- Export your Xero history and keep it: records must be kept for five years
- Run one quarter's GST summary side by side before you cancel
Questions trainers ask
Do dog trainers need Xero?
Most solo trainers do not, if their software handles GST invoices, expenses, bank matching and a GST summary. Xero earns its fee with employees, several businesses, or an accountant who works inside it.
What does Xero cost in Australia?
Ignite, the entry plan, was A$37 a month including GST in October 2026. Check xero.com/au for current pricing.
Will my accountant accept records that are not in Xero?
Usually yes. They need accurate income, expenses, GST and bank records, not a brand. Ask yours before you switch.
